Lodging Policy
 

RESERVATIONS: All reservations must be secured with an advance deposit of 50 % of your total stay, which includes a $35.00 processing fee, a cleaning fee, and all applicable taxes at the time of reservation. The $35.00 processing and cleaning fees are not applicable to the Nestle Inn.  All deposits are non-refundable and are not held in escrow.  For reservations made by credit card, the remaining 50% will be automatically charged to your card 10 days prior to your scheduled arrival date.  If you want to use a different credit card for the final payment, you must contact our office prior to the balance due date. Personal checks can only be accepted if received, in our office, 30 days prior to your arrival.

SECURITY DEPOSIT/ DAMAGE WAIVER: All cabin, chalet, condo or townhouse are privately owned; all stays require a security deposit equal to 25% of your entire stay be collected when you make your advance deposit.  Or, you can choose to pay a non-refundable Damage Waiver Fee of $20.00 on a 1 bedroom unit plus $5.00 for each additional bedroom. The damage waiver fee provides you with up to $1000.00 protection for accidental damage. Damages as the result of parties or negligence on the part of any guest will not be covered.  Security Deposits, if you do not elect to take advantage of the Damage Waiver Plan, will be refunded within 30 days of your departure providing no damage is found in the unit.

Failure to notify our office of any damages to your rental unit prior to checking out will result in your being charged for all damages. If you fail to notify our office of damages or fail to pay for the damages and they are in access of $250 it will result in a misdemeanor Arrest Warrant being issued for you. If they are in access of $1000 a felony Arrest Warrant will be issued for you. Please govern yourself and your guests accordingly.

CANCELLATIONS: If, for any reason, you need to reschedule your reservation, you must provide us with 21 days notice of any changes; otherwise you are responsible for the entire stay as booked. There is a $35 Processing Fee for each reservation (excluding reservations for the Nestle Inn Motel).  Any changes made to cabin, chalet, condo, or townhouse reservations will require an administrative fee in the amount of $35, which will be charged upon changing the reservation. All changes to Nestle Inn Motel reservations will require a $20 administrative fee, which will be charged upon changing the reservation. All changes to your reservation are subject to current rates, availability, and reservation rules in effect at the time of your new reservation. If you reschedule, your original deposit will be applied to your rescheduled arrival date and you must reschedule within 1 year of your original reservation date. Due to the nature of the resort business we are unable to refund for early check outs for any reason, including inclement weather.

WEATHER NOTICE:  Due to the nature of the resort business we do not have refunds for weather or any other circumstance beyond our control. We recommend tire chains or 4 wheel drive vehicles for driving on our mountain roads during the winter months. We do not recommend arriving through the Great Smoky Mountain National Park using Hwy. 441 during the winter. Call 1-800-342-3258 for road conditions.  We do not provide any transportation for guests, nor are we responsible for any towing charges you may incur during your stay.

FURNISHINGS & DESCRIPTIONS:  Our properties are privately owned and furnished.  Please do not rearrange the furniture, take any items outside that are part of the inter décor, or move any furnishing or kitchen items to another unit.  The unit descriptions were correct at the time of printing, but subsequent renovations may have resulted in changes.  Although every effort has been made for accuracy, BCVR is not responsible for errors on the website for property changes made by the owners or for any other conditions beyond our control upon arrival.

EQUIPMENT& UTILITIES:  In the event of a mechanical failure we will make every effort to have all reported malfunctions corrected as promptly as possible. However, neither BCVR, nor the property owner will be obligated to give replacements or refunds in the event of failure or absence of any item.  No compensation will be given for temporary outage of electricity, gas, water, cable/satellite or telephone service.  Outages will be reported immediately and all efforts will be made to have them restored as soon as possible.  The operation and maintenance of these utilities is out of the control of BCVR.

MAXIMUM OCCUPANCY:  Local fire codes have established maximums for all units. Please adhere to these maximums.

NO HOUSE PARTIES OF ANY KIND:  If guests are found having a party in any of our units, everyone will be asked to immediately vacate the premises without a refund.

FINANCIAL RESPONSIBILITY:  Guests assume full responsibility for all damages, excessive cleaning fees, or any missing items including linens and towels. Please read the departure procedures in the unit.  An excessive cleaning fee will be charged for not following these procedures. Please make sure you do not leave any personal items behind when departing; BCVR will not be held responsible for items left in the unit.

HOT TUB:  Do Not use the hot tub if you are pregnant, have High Blood Pressure, have Diabetes, have any open wound or sore, or if you have health care concerns that are not addressed here. Children under 18 years should not use the hot tub. Do not use electrical equipment in or near hot tub.

DO NOT USE THE HOT TUB IF YOU ARE USING ALCOHOL OR ANY TYPE OF RECREATIONAL DRUG.
Caution:
Avoid Antihistamines, Anticoagulants, and Tranquilizers if using the Hot Tub.  If you do not know how your prescription drug use will interact with Hot Tub use, you should call your health care professional for more information. Limit your time in a hot tub to 20 minutes or less at a time.

HOT TUB CHEMICALS:  Hot tubs are emptied, cleaned, re-filled and treated with chemicals after each stay and will take several hours to reheat. There may be a strong chemical smell when lid is first opened; call if the odor persists. Shower before and after each hot tub use, because the chemicals may cause a skin irritation or rash. Do not wear street clothing in the hot tub - only wear bathing suits. The chemicals may fade bathing suits or discolor hair. Do not overload your hot tub with too many bathers, because it will overflow the hot tub and adversely affect the chemical balance. Allowing the hot tub to overflow may cause serious damage to the electronic controls and you will be held liable for it. Do not add anything to your hot tub such as Bath Oils, Bubble Bath or ANY type of Soap.  These will change the chemical balance of your tub and may break hot tub machinery.  If you do, you will be charged an extra $45 Clean Up Fee and any repair expenses. Do not use the hot tub if you have any questions about the quality of the water.  Call 1-800-436-7811 and report your water conditions immediately.

FIREPLACES: Please be aware that we do not supply firewood and this is the guests' responsibility. Many of our cabins have gas logs with timers. Please be cautious when using the fireplaces. Do Not operate the air conditioner and the fireplace(s) at the same time.

PETS: We do not allow pets in any of our units. If a pet is found in any unit, a cleaning fee of $250 will be assessed and you will be held responsible for any damages caused by the pet(s).

EMERGENCY NUMBER: Please call 911 first for ambulance, fire department or police department, and then call us as appropriate.  If you have an after hours emergency, you can reach us by calling 1- 877-436-7878. You will find this after hour’s emergency number in the guest guide located in your rental unit. After-hours emergencies are:  Heat/air unit not working, water leaking inside unit, your key will not open the door or you can not find your unit.  The following are not after-hours emergencies: hot tub or Jacuzzi not working, cable outage, appliances not working.  Please report these to 1-800-436-7811 during normal business hours.
